Year-End Function Entertainment Checklist
Use this checklist to keep your year-end function on track, on budget and memorable for the right reasons. It covers the decisions that most event coordinators forget until the last minute.
1. Set the date early
Year-end calendars fill up fast. Lock in your venue and entertainment at least 6–8 weeks ahead, especially for Thursday and Friday nights in November and December.
2. Confirm the guest profile
Mixed ages, departments and seniority levels need a neutral, inclusive format. Trivia and music bingo work because they level the playing field.
3. Choose a format that fits the room

4. Check the venue AV
Confirm projector, screen, HDMI inputs, PA, microphones and seating layout. If the venue lacks AV, ask your host whether they can supply it.
5. Plan the prize budget
Prizes don't need to be big, but they should feel meaningful. Even a R200–R500 voucher creates competition and conversation.
6. Build a run sheet
Arrival, drinks, food service, MC intro, first round, break, final round, prizes. Share it with your host, venue manager and AV contact.
7. Brief the host on your brand
Provide company name, inside jokes to avoid, key products or themes, and any VIPs to mention. A good host turns this into custom rounds.
8. Send invites with a teaser
Tell guests there will be a live game, leaderboard and prizes. Early hype improves attendance and participation.
9. Plan table sizes
Trivia works best in teams of 4–8. If your venue uses long tables, group people into named teams before the event.
10. Arrange transport if needed
If alcohol is served, remind guests about safe transport options. This is often the detail that saves a great night from ending badly.
11. Capture the moment
Assign someone to take photos or short videos. Social proof from the event becomes your best marketing asset for next year.
12. Book the right entertainment supplier
Look for a hosted, professional package that includes sound, scoring, MC and backup plans. Ask for references and a clear quote in writing.
